Our commitment to information privacy

The Department of Women, Aboriginal and Torres Strait Islander Partnerships and Multiculturalism (the department) is committed to respecting and protecting the privacy rights of our clients, employees and members of the public.

We protect your personal information by upholding Queensland’s privacy laws, resolving privacy complaints and investigating suspected data breaches.

The department has developed information privacy policies and procedures in line with the Information Privacy Act 2009 (Qld) (IP Act) and the Queensland Privacy Principles (QPPs).

The purpose of each of the department’s information privacy policy documents is as follows.

Definitions

Personal information: is information or an opinion about an identified individual or an individual who is reasonably identifiable.

Sensitive information: is a specific category of personal information and includes, but is not limited to, information or an opinion about your:

  • racial or ethnic origin
  • political opinions
  • religious beliefs or affiliations
  • philosophical beliefs
  • sexual orientation
  • criminal record.

Information we collect

We may collect personal information about you where it is reasonably necessary, or directly related to, our functions and activities.

We may collect information about you:

  • where you consent
  • when the collection is authorised or required by law
  • when the collection is allowed under the IP Act.

The types of personal information we may collect includes your:

  • name
  • gender
  • date of birth
  • contact details.

How we collect information

We collect personal information through a range of channels. These include paper forms, written or computer records of telephone inquiries, and camera surveillance in government buildings for security and safety purposes.

We use cookies and web measurement tools to collect anonymous statistical data on website visits, including browser type, pages accessed, and IP addresses. This information is used for system improvements, not for identifying individuals. Email traffic may be monitored for troubleshooting, but personal details are not shared or added to mailing lists without consent, unless required by law.

You will be advised if we are collecting your personal information and, in some situations, you can remain anonymous or use a pseudonym.

Disclosing your personal information to third-parties (when required)

We may disclose your personal information to Australian, state and territory government agencies, and third parties, where the disclosure is required or authorised by law.

Storing personal information

We take reasonable steps to protect your personal information against misuse, interference and loss, and from unauthorised access, modification and disclosure.

When your personal information is no longer required, we destroy or archive the information in a secure manner.

Sharing information outside Australia

If you choose to share your personal information via social media platforms, such as Meta (Facebook, Instagram) or LinkedIn, you do so voluntarily and with your consent. Please note that any personal information shared in this manner may be disclosed to, and stored in, the countries where these platforms operate or maintain their servers, subject to the privacy policies and practices of the respective platforms.

Handling your email and feedback information

This is a Queensland Government website. Email correspondence sent to this site will be treated as a public record and will be retained as required by the Public Records Act 2023, and other relevant regulations.

The QPPs apply to emails, especially those sent to or from Queensland Government agencies. These principles govern how personal information, including email addresses and content, is collected, used, and disclosed.

Your name and address details will not be added to a mailing list and we will not disclose those details to third parties without your consent unless required by law. Our internet service provider or information technology staff may monitor email traffic for system trouble shooting and maintenance purposes only.

  • We use cookies to collect anonymous statistical information, including:

    • your browser, computer platform and screen resolution
    • your traffic patterns through our site, such as:
      • the date and time of your visit
      • the pages and documents accessed
      • the website you visited before ours
      • your server address.

    We do not identify users or any browser activity outside this website, except in the unlikely event of an investigation, where a law enforcement agency may have a warrant to inspect activity logs.

    Transactional services available from this site may use cookies to track business processes. Please read the particular service's privacy and security statement before beginning a transaction.

  • We use analytics tools on our website to gather anonymous information about visitor trends and behaviour. When you visit our web pages, your browser automatically sends anonymous information to these analytics tools. Some examples of the information include the web address of the page that you're visiting, IP address, demographic information, and mouse movement.     Microsoft is subject to both Australian and overseas laws, which may, in limited circumstances, require the disclosure of your information to government authorities both within Australia and internationally.

  • Where this site contains links to other Queensland Government agencies’ websites, the privacy or security terms set out there will apply to the material on the websites.

    Where this site contains links to non-Queensland Government websites, the Queensland Government is not responsible for the privacy or security practices or the content of any such websites.

Accessing and correcting your information

You have the right to ask:

  • for access to personal information that we hold about you
  • that we correct your personal information.

If you ask, we will give you access to your personal information and take reasonable steps to correct any information that is inaccurate, incomplete, out-of-date or misleading. Amendments are made by adding a notation to the document.

For inquiries regarding access to your personal information, please refer to the relevant contact information on the Department of Families, Seniors, Disability Services and Child Safety website.

We may refuse your request to access or amend your personal information, but you will be provided with a reason for our decision and in the case of an amendment, we will place a note with your personal information indicating that you have disputed its accuracy.

Make a privacy complaint

A privacy complaint may relate to the collection, management, use, disclosure or overseas transfer of your personal information.

If you want to make a privacy complaint, it must be made in writing. If you believe that we have not handled your information appropriately, please complete the Privacy Complaint Form (DOCX, 89 KB), and let us know about your concerns. What is a data breach

A data breach occurs where personal information is accessed or disclosed without authorisation.

A data breach may be on purpose or by accident. Examples of data breaches include:

  • a misdirected email
  • disclosure over the phone
  • phishing attack.

What is an ‘eligible data breach’

A data breach is ‘eligible’ if it is likely to result in serious harm to any of the individuals to whom the information relates.

The Mandatory Notification of Data Breach (MNDB) scheme requires regulated government agencies to notify particular individuals and the Commissioner about 'eligible data breaches'.

Responding to a data breach

There is no single way of responding to a data breach. Data breaches must be dealt with on a case-by-case basis, and this involves undertaking an assessment of the risks and using the risk assessment to decide the appropriate action to take.
